NetGym Overview for Instructors

A quick guide to the key features of NetGym so you know where to find everything you need.

At its core, NetGym is a sub management tool for fitness instructors. It automates the process of finding class coverage and, when integrated with your gym's scheduling system, updates the live schedule in real time.

Beyond sub management, NetGym can also be used for centralized staff communication, shift management for non-teaching staff, task management, and more, if enabled for your studio.

What can I do in NetGym?

Main Sections/Features

Home Page

Your Home Page is the default landing page that's tailored to your own workload. On the web, you'll see:

  • Schedule

  • Sub Board

  • Unread messages (if enabled)

  • Recent and outstanding posts (if enabled)

  • Incomplete trainings (if enabled)

  • Outstanding documentation (if enabled)

On the mobile app, you'll see your upcoming schedule and any sub requests to review.

My Profile

Update your personal information and notification preferences in your profile. If enabled, you'll also see Documentation, My Availability, and Time Clock on web.

Schedule

Your Schedule surfaces your upcoming classes.

If shift are enabled at your studio, you can switch between My Schedule (only your classes and shifts) and Team Schedule (your team's classes and shifts) on the mobile app.

Sub Board

The sub board displays all sub requests:

  • Sent: sub requests you've sent out

  • Available: sub requests available for you to pick up

  • Approved: sub requests you've accepted and approved to teach

If shifts are enabled at your studio, you can switch between Classes and Shifts on the mobile app.


Additional Features (If Enabled at Your Studio)

Availability

Availability determines when you'll receive sub requests and the schedule management can refer to when scheduling.

  • Subbing availability: Days/times you're open to sub. You won't receive invites for classes outside this window.

  • Permanent class availability: Days/times you're available for new permanent classes, visible to management for scheduling opportunities.

Documentation

If your manager requires a document upload or an e-signature, you can do so in Documentation.

Posts

Posts houses all important updates (announcements, events, class openings, and compliance messages).

Messages

Messages includes Chats (two-way communication with the team/management) and Channels.

Resources

The Resource Hub is a document library where management posts studio-specific information — such as opening procedures or troubleshooting guides for a specific location.

Staff Directory

Go to the Directory to call, text, email, or message teammates, depending on what they've enabled. You can filter by skill or location.

Tasks

Tasks gives your team a centralized place to create, assign, and track work inside NetGym.

Time Clock

Time Clock lets you clock in and out of your scheduled shifts directly from the NetGym mobile app. If your studio has also enabled unscheduled time tracking, you can log work that falls outside your scheduled shifts

Time Off

Time Off lets you submit unavailability for a single day or a date range. Your manager is notified automatically and can approve or decline your request.
