How to Find and Respond to Sub Requests

Learn how to find available sub requests, respond to sub requests, leave comments for teammates, and know what to expect after you've been confirmed as a sub.

When an instructor needs coverage for their class, NetGym notifies eligible instructors (based on assigned skills) so they can step in. Approved instructors receive a sub approval receipt and a class reminder 2 and/or 24 hours before class, depending on their notification preferences.


How to find sub requests available to you

Navigate to the Sub BoardMy RequestsAvailable. Alternatively, click "You have requests to review" on the mobile app.

These are sub requests you are eligible to accept based off of the skills and locations listed on your profile.

What to do if you're missing sub requests

  • If you don't see what you're looking for, reach out to your group fitness manager to get clarification on what you are eligible to teach.

  • If you do not see any requests, you may not have been added to existing requests that were sent out prior to you getting onto the system. Reach out to your manager to have them make this change for you. They can check a box on your profile to "add instructor to all open and pending requests".

  • Make sure your filter includes declined requests if you'd like to accept a previous request you declined.


How to accept or decline a sub request

  • To accept: On the request you'd like to sub for, tap or click Accept. Before accepting, check the comments section — the requesting instructor may have left important details about the class, such as format notes, playlist info, or equipment to bring.

  • To decline: Open the request and tap or click Decline. You won't be re-notified if the requesting instructor resends invites after you decline.


How to leave a message on a sub request

Click the Comment chat bubble button on any request to leave a note for the requesting instructor or management. Tag people using @name so they receive a notification.


What happens after accepting a sub request

Confirmation depends on your studio's settings:

  • Auto-approve — You're automatically confirmed if you're the first to accept

  • Manager-approve — A manager reviews and confirms you

  • Instructor-approve — The requesting instructor selects from everyone who accepted

How to know you're confirmed as a sub

Once approved, you'll receive:

  • A sub approval receipt via email (also sent to the requesting instructor and the location's managers)

  • A class reminder 2 or 24 hours before class — set your preference in your profile


How to add an approved class to your personal calendar

Go to Sub Board → Approved and use the Add to Calendar button on the class. This keeps all your upcoming classes — both your own and any you're covering — in one place. Click here to read more.


What to do if you can no longer sub an approved class

If you can no longer sub an approved class, you'll need to reopen the sub request.

Open the class from Sub Board → Approved Reopen (circular arrows icon). Read through the following and Confirm:

  • All instructors who accepted previously will be moved to the "No Response" state. We want to ensure they are still free to sub.

  • Instructors who did not respond initially will be notified again.

  • Instructors who declined will not receive another notification.

  • To invite more people, head to the Not Invited Yet section.

The request returns to Open status and re-notifies everyone who was originally invited. It will go through the full approval process again once someone accepts.

By confirming to reopen, you are now the requesting instructor and still the sub-in-place until someone else gets approved or assigned.
