Availability for Instructors

Only receive notifications when available and quickly gather instructor's availability

What is availability and why does it matter?

  • Instructors can set up their general availability for both Subbing & Permanent Classes Monday through Sunday. Managers can now easily view all instructors availability in 1 place to help with scheduling changes.

    • Subbing: This means you'll begin receiving sub requests for only classes that fall within your availability. This will help reduce any “noise” and increase relevancy when it comes to notifications.

    • Permanent Classes: This helps managers understand availability for scheduling new permanent classes. They may ask you to enter this when there are upcoming schedule changes.

How do I update my availability?

  • On the web: Head to My Profile --> My Availability section on the left hand side panel

  • On the mobile app: Head to the ≡ menu in the top left, then choose Availability

    • Your hours are defaulted to be available when the first class starts and the last class ends.

    • You will either see all hours within the open business hours or time blocks (this is dependent on your studio/gym)

    • You will see Subbing and Permanent Classes

      • Click Edit within the tab you want to modify

      • Modify the slots by editing or deleting each slot within the day or time block based on your studios scheduled blocks or mark as unavailable.

      • Scroll down and click SAVE

  • If you are updating Permanent Class availability:

    • Scroll down and edit the Additional Information section to inform management of the preferred locations you wish to take permanent classes, the # of classes you wish to teach, and any other notes such as other flexibility within your schedule for permanent classes.

    • Click save!

    • Note, the management team has visibility into your permanent class availability and will be able to see the additional information you enter to help make scheduling decisions.

A few things to note!

  • Remember, you will not be invited to sub classes that are outside your available hours so if you're wondering where your requests have gone, check your availability! However, in SOS moments, ONLY managers have the ability to open up sub requests to instructors who are listed as unavailable.

  • Personal Invites: If you are sending multiple sub requests for various days and times, you will not be able to deselect instructors and only send the requests to certain instructors. This is to account for the fact that specific instructors may not be listed as available for all of the days and times of your request.

    • Instead, you can send individual requests for each date and time to the instructor of your choice OR you can send out the request and have your manager assign a specific sub to certain requests.

    • Note, the ability to send a personal invite is an account setting set by studio management. You may not have this setting enabled if you are still unable to send personal invites.

  • Subbing and permanent class availability can be turned off during certain points of time and is determined by each studio/gym. This is to ensure people submit availability during specific times of the year and not change it at any given time.

What if Nobody is Available for my class??

  • If nobody listed they are available for a specific sub request, we will still send it out and place it on the sub schedule with an error exclamation point.

  • Management will receive a notification letting them know that nobody was invited to the sub request because nobody had available hours for that date/time.

  • We suggest management reaches out to your team to update their availability! Once they do, you or your manager can click on the Invite More button within the sub request and invite those that became available to take this class.

How do I see who was unavailable for my class?

  • Head into the sub request and check out the "unavailable" column

  • If you need to invite someone that has marked themselves as unavailable, the instructor needs to open up their availability and then you will find them in the "Invite More" button to invite. OR management can invite them directly.
