How to Invite Users to Open and Pending Requests

Add one or many users to all the open and pending requests they're eligible for.

Written by Helen Krebiehl

Invite to Requests saves you time by adding users to every open and pending sub and cover request they're eligible for — instead of editing each profile one at a time.

Use it for a single user or select multiple users and invite them all at once. It's the fastest way to catch someone up on requests that were sent before they were added or before their profile changed.

Use Invite to Requests when:

  • You've added a new user and they need to see requests sent before they joined

  • You've updated a user's skills, locations, or teams

  • A user has opened up their availability

  • An instructor says they never saw a request they should have received

How to invite users to open and pending requests

Invite one user

From profile update

When adding a new skill or location to a user's profile, you'll get a prompt to invite the instructor to all open and pending sub requests.

  1. Assign skill(s) and/or location(s) user profile → Save.

  2. Toggle on Invite instructor to all open and pending sub requests.

  3. Click "Confirm".

From Settings

  1. Navigate to Settings → Users.

  2. Search for the user or find them in the list.

  3. Click the ⋮ menu on their row and select Invite to Requests.

  4. Confirm in the window that opens.

Invite multiple users at once

  1. Navigate to Settings → Users → Active.

  2. Select the checkbox next to each user you want to invite.

  3. Click Invite to Requests.

  4. Confirm in the window that opens.

One important catch: if a sub request was sent as a personal invite, you’ll need to invite them from inside each sub request’s Not Invited list.

How to know which requests users are invited to

NetGym checks each user separately and only invites them to requests they're eligible for. What they're invited to depends on their permissions:

Request type

Who gets invited

Class sub requests

Users with permission to accept sub requests

Shift cover requests

Users with permission to accept shift coverage — only available when Shift Management is turned on

Within each type, users are matched by their skills, locations, teams, and availability (if enabled) — the same rules NetGym uses when a new request is sent.

Availability still applies. Users are only invited to requests that fall within their availability. If someone is missing from a request because they're marked unavailable, invite them from the Unavailable list inside that request.

Frequently Asked Questions

Does Invite to Requests include shift cover requests?

Yes, if Shift Management is turned on. Users with permission to accept shift coverage are invited to open cover requests, and users with permission to accept sub requests are invited to open class sub requests.

Why wasn't a user invited to a specific request?

They likely don't match the request's permissions, skills, locations, teams, or availability. Open the request and check the Not Yet Invited and Unavailable lists to see where they landed.

Will users be notified when they're invited?

Yes. Invited users are notified of their new invites.

Can I use Invite to Requests on mobile?

It's currently available on the web only.
