My Requests vs. All Requests

Understand the difference between My Requests and All Requests on the sub board, and when to use each view to track sub requests.

Understanding Your Sub Board:

  1. Two Areas of Sub Board:

    • My Requests section (all users)

    • All Requests section (managers + admins only)

  2. My Requests:

    • The instructor/personal view

    • Sent: View sub requests you have sent out for classes you personally need subs for.

    • Available: View sub requests you are invited to pickup based on skills, teaching locations, availability, and personal invites from your profile.

    • Approved: View sub requests you are approved to sub

  3. All Requests:

    • Management view for all sub-requests

    • Filters available for Status, Location, Requesting & Approved Instructor Names, and Class Types

    • Can switch between calendar view and list view

    • Download calendar view into an Excel report

    • Statuses:

      • Manager PTO approval (purple): Sub request is waiting manager approval to be sent out to the team. Note this a special feature upon request.

      • Open (yellow): sub request that is available and nobody has accepted it yet

      • Pending approval (blue): sub request that has at least 1 person who has accepted and is awaiting to be approved. Multiple people can accept the same sub request and it will appear as open to the other instructors. Depending on your approval setting within the location, its either awaiting management or the instructor to approve. If you have auto-approval on and see a blue request, its because there was an error in approving the instructor that needs your review. Once the error is resolved, you will need to approve the sub request.

      • Approved (green): sub request is approved with a sub and is no longer available to instructors to pick up.

      • Deleted (gray): Sub request has been deleted due to the schedule being updated or the original instructor is now teaching. Deleted sub requests cannot be restored but will remain in gray on the All Requests board. They need to be re-created with the updated information.

      • Cancelled (red): Sub request has been cancelled due to not being able to find a sub, facilities/maintenance, or weather.

  4. Final Tips:

    • Stick to All Requests view for managing multiple sub-requests

    • Utilize the features for effective sub-request management
