📅 Why Your Classes Aren’t Appearing When Creating a Sub Request

Below is a breakdown to help you quickly identify and resolve the issue

If you're trying to submit a sub request in NetGym but your classes aren’t showing up, don’t worry—this usually comes down to a few common issues based on your scheduling system and user profile setup.


🔄 For Accounts Integrated with a Scheduling System

(MBO, Mariana Tek, ABC, ClubReady, Fisikal, Crunch, or Custom)

1. ❌ You’re Not Assigned to the Class in the Scheduling System

  • If your classes aren’t correctly assigned to you in the live scheduling system, they won’t appear in NetGym.

  • ✅ Action: Ask your manager to confirm that you're assigned to the correct classes in your scheduling platform.

    • Management: Confirm that the user has the correct profile ID in NetGym that is associated with these classes in the scheduling system.

2. đŸ‘€ You Have a Duplicate Profile

  • Sometimes, multiple profiles exist for the same person. Some classes may be assigned to one profile and others to the duplicate.

  • ✅ Action: Management needs to delete the duplicate profile in the scheduling system and reassign all classes to your primary profile. Once this is resolved, your full schedule will sync properly.

    • If all classes are assigned to the duplicate inactive NetGym profile, the NetGym team can manually adjust your profile ID. Reach out to us so we can help.

3. 🆕 The Class Hasn’t Been Synced Into NetGym

  • Even if the class exists in your scheduling system, it must be imported or synced into NetGym first.

  • ✅ Action (for roles that have this permission): Go to Settings > Classes and add/sync the class from your scheduling system.

4. ⛔ The Class is Assigned to a Deleted/Inactive profile

  • In some scheduling systems (MBO, MT, Crunch CMS), classes can still be assigned to an old deleted or inactive profile. Crazy right?!

  • You need to make a permanent teacher change for this schedule.

  • During that process, you will select the name of the active user again

🧡 Crunch CMS

  • Missing Class Duration:

  • Class Assigned to Deleted Profile:

    • ✅ Go to the class in Crunch CMS. If the instructor field is linked to an old, deleted profile, reassign it to the correct active profile.


💙 Mariana Tek

  • Old or Inactive Instructor Assigned to the Class:

    • ✅ Ask your manager to update the instructor for the class using the following steps:

      1. Go to the schedule in Mariana Tek.

      2. Find a class where the incorrect teacher is listed as the permanent instructor.

      3. Click Edit, scroll to the instructor field.

      4. Remove the old instructor.

      5. Search for and select the correct active instructor.

      6. Click Save/Update.

đŸš« For Accounts Not Integrated with a Scheduling System

If your NetGym account isn't integrated with a scheduling platform:

  • You likely don’t have the required skill assigned to your profile for the class you're trying to sub.

  • ✅ Action: Reach out to your manager to confirm your skills are up to date in your profile.

    • Management: Head to settings > classes > search for the class > verify the primary skill. Head to users > search for the user > verify they have this skill on their profile.
