Viewing Staff Availability in Shift Scheduling

You can now view staff unavailability directly in the calendar and inside the “Assign to” field when creating or editing a shift. This makes it easier to avoid conflicts and confidently assign coverage.

Turn on “Show Unavailable” in the Calendar

To view staff unavailability directly on the schedule:

  1. Go to Schedule > Team Schedule

  2. Toggle on Show Unavailable (top right of the calendar)

When enabled, you’ll see:

  • All-day unavailability clearly displayed on the calendar

  • Partial-day unavailability shown in the specific time blocks affected

  • Unavailability across Month, Week, and Day views

This allows you to quickly spot coverage gaps and conflicts before assigning shifts.

View Availability in the “Assign to” Field

When creating or editing a shift, the Assign to dropdown now displays each staff member’s availability status for that specific day and time.

You’ll see clear indicators for:

  • Fully Available: No conflicts for the selected shift time

  • Available – Shift Today: Available for this shift, but already working another shift that day

  • Unavailable

    • Unavailable for part of the selected time (time range shown)

    • Unavailable (All Day) – Marked unavailable for the full day

  • Overlapping Shift: Already scheduled for another shift that overlaps with this one

This gives you real-time context so you can make informed scheduling decisions without leaving the shift form.

How Staff Availability Works

Permanent Weekly Availability (Set by Staff)

Staff members submit their recurring weekly availability directly in their profile (for example: Mondays 9:00–11:00 AM).

This availability:

  • Repeats week over week

  • Automatically informs scheduling conflicts

  • Is reflected in both the calendar and Assign to field

Manager Overrides

Managers can still assign a shift even if someone is marked unavailable.

You can proceed with the assignment. This provides flexibility for last-minute coverage or agreed-upon exceptions.

Why This Matters

With availability now visible in more places, you can:

  • Reduce accidental scheduling conflicts

  • Quickly identify who can cover open shifts

  • Make confident override decisions when needed
