How to Print or Export Your Shift Schedule

Learn how to print or save a PDF of your shift calendar.

Print/Export lets you create a clean, printable version of your shift schedule. This is great for posting in-studio so your team can see it at a glance, or for keeping a copy on hand for quick reference.


How to customize your printed view

Navigate to Schedule → Team Schedule and filter as you like. The export respects filters already applied on your schedule.

Then, click Print/Export on the calendar toolbar (to the left of Copy Shifts) to further customize the following in the print preview:

  • View — Day, Week, or Month (defaults to whichever view you were already on)

  • Date range — defaults to the range currently in view; change it with the date picker

  • Group by — Assignee (default, shown as swimlane rows per staff member) or None

  • Location — choose a single location for the printout

The printout only displays:

  • Published shifts — draft shifts won't appear

  • A simple header with the location name and date range

  • Just the calendar itself — no nav, sidebars, filter drawer, or modal controls


How to print or save the schedule as a PDF

From the Print Preview modal, click Print → choose a printer or select Save as PDF in browser's print dialog.

Longer date ranges will paginate automatically across multiple pages.


Frequently Asked Questions

Can I print multiple locations at once?

No, the printout covers one location at a time. Run Print/Export separately for each location you need.

Will draft (unpublished) shifts show on the printout?

No, only published shifts appear on the printed calendar.

Can I change the font size, orientation, or colors?

Not currently, the print layout is fixed to keep the output clean and consistent.
