Mark No Show lets you flag shifts that staff didn't work — so your schedule, attendance, and Shift Reporting stay accurate, even when a shift had a cover request.
This feature is only available on the Elevate Plan with Time Clock required for shifts. Please contact your CSM or reach out to Support to upgrade your plan or enable this feature.
Permissions:
To mark or undo a No Show, you need the Edit and delete published shifts permission.
To add a clock-in for a staff member, you need permission to update others' time clock entries. Manage both in Settings → Permissions.
How to spot shifts with no clock-in
When a team requires clock-in for shifts, NetGym checks each shift for a time clock entry from the person currently assigned to it.
If there isn't one 5 minutes after the shift starts, the shift shows a No Clock In status with a yellow border on the Team Schedule.
Status | What it means | Actions available |
No Clock In | The shift started at least 5 minutes ago, it's within the last 14 days, and the current assignee hasn't clocked in | Mark No Show or Add Clock In |
No Show | A manager marked the shift as not worked | Undo No Show, Duplicate, or Delete |
No attendance status | The assignee clocked in, clock-in isn't required for the team, or the shift is more than 14 days old | Normal shift actions |
You have 14 days from the shift's start to either mark it as a No Show or add a clock-in. After that, the No Clock In flag disappears and neither action is available — the shift is left as-is.
No Clock In replaces the cover status. If a shift has a cover request and no clock-in, the calendar card shows No Clock In instead of the cover status (for example, Open). Open the shift to see the cover details.
How to mark a shift as a No Show
Mark a shift as a No Show when the assigned staff member didn't work it. No Show always applies to whoever is currently assigned — the original assignee, or the person who covered the shift.
Web
Navigate to Shift Schedule → Team Schedule.
Find the shift with the No Clock In status and click it to open the quick action menu.
Click Mark No Show.
Confirm in the dialog.
You can also mark a No Show from the shift's details.
Mobile
Open the NetGym app and navigate to the team schedule.
Tap the shift with the No Clock In status to open Shift Details.
Tap Mark No Show, then confirm.
The shift now shows No Show on the calendar, in Shift Details, and on the cover's details if the shift has a cover request. The action is recorded in the shift's activity history.
Staff aren't notified. Marking a No Show is an internal status change — NetGym doesn't send a notification to the staff member or anyone else.
What happens to a No Show shift
A No Show shift is locked until you undo it:
Only Undo No Show, Duplicate, and Delete are available.
Edit is hidden — including changing the assignee.
Cover request actions are disabled everywhere, including approving, assigning, or canceling a cover from the cover's details.
The staff member can't clock in to the shift.
If the shift has an approved cover, only the No Show status shows — not the cover status.
How to add a clock-in for a shift
If the staff member worked the shift but forgot to clock in, add the clock-in instead of marking a No Show.
Navigate to Shift Schedule → Team Schedule.
Click the shift with the No Clock In status.
Click Add Clock In.
Review the clock-in and clock-out times — they default to the scheduled shift times — and adjust them if needed.
Click Save.
The No Clock In status clears, and the entry appears in Insights → Shifts → Shift Reporting.
How to undo a No Show
Navigate to Shift Schedule → Team Schedule.
Click the shift with the No Show status.
Click Undo No Show.
The shift goes back to exactly the state it was in before — usually No Clock In. Editing, cover actions, and staff clock-in are available again.
A No Show doesn't expire. Once marked, it stays on the shift until you undo it — even after 14 days.
How to handle No Shows on shifts with cover requests
Cover requests don't affect whether you can mark a No Show. You can mark any shift with no clock-in as a No Show — whether its cover request is open, pending approval, approved, declined, or canceled.
No Show actions aren't on the cover's details page. To mark a No Show or add a clock-in, open the shift from the Team Schedule instead.
If someone else actually worked the shift
If you marked a No Show but the shift was covered — for example, a cover was approved late — you need to unlock the shift before you change who's assigned:
Click Undo No Show on the shift.
Approve the cover, or edit the shift and change the assignee.
NetGym rechecks the status against the new assignee's clock-in. If they haven't clocked in, the shift shows No Clock In, and you can add their clock-in or mark them as a No Show.
Each step is recorded in the shift's activity history — and in the cover's history — so the order of events stays clear.
Watch for duplicate hours. If the previous assignee already clocked in and you change the assignee, you'll see a warning under Assign to. Both people's clock-ins stay on the shift and both appear in Shift Reporting — review and fix them in Insights → Shifts → Time Clock Entries.
How to find No Shows in Shift Reporting
Navigate to Insights → Shifts → Shift Reporting.
Select your date range.
Check the Status column — it shows No Show for shifts marked as No Shows and is blank for all other shifts.
The Status column is also included when you export the report.
