Shift Insights: Coverage, Behavior, and Responsiveness Reports

What the Shift Coverage, Behavior and Responsiveness tabs in Insights > Shifts measure.

Written by Andrew Baldwin

Three tabs in Insights → Shifts show how cover requests play out across your team:

  • Shift Coverage — One staff member’s cover requests: what they sent, what they were invited to cover, and what they covered

  • Behavior — Who asks for cover, how often, and how much notice they give

  • Responsiveness — How staff respond when they’re invited to cover a shift

All three need Shift Management and can be exported to CSV.

Permissions:

Shift Insights is only available to managers, business admins, and account owners on the website.

Where to find Shift Insights

On the website, go to Insights → Shifts. You’ll see these tabs:

  • Overview

  • Shift Reporting

  • Shift Coverage

  • Time Tracking

  • Time Clock Entries

  • Behavior

  • Responsiveness

Shift Coverage, Behavior, and Responsiveness only appear when your account has Shift Management turned on.

Each tab only includes shifts at locations you have access to. Cancelled cover requests aren’t counted.

Shift Coverage

Shift Coverage shows the cover request history for one staff member at a time. Start by picking someone in the Search staff name box. Until you do, the table stays empty.

Three cards appear at the top. Click a card to switch what the table shows:

  • Cover Requests Sent – Cover requests for this person’s shifts

  • Invited to Cover – Cover requests this person was invited to pick up

  • Shifts Covered – Cover requests where this person was approved to cover the shift

Columns include:

  • Shift Date & Time, Team, and Location – The shift that needed cover

  • Requesting Staff and Created By – Whose shift it was, and who created the request (for example, a manager creating it on someone’s behalf)

  • Created Date and Days Notice – When the request was made, and how many days before the shift

  • Reason – The reason given for cover

  • Status – Open, Pending Approval, or Approved (on the Shifts Covered card, approved requests show as Confirmed)

Depending on the card you choose, you’ll also see:

  • Approved Cover (Cover Requests Sent) – Who ended up covering the shift

  • Response and Approved? (Invited to Cover) – How this person responded (Pending, Accepted, Declined, or Approved) and whether they got the shift

Behavior

Behavior shows who asks for cover and how far ahead they ask.

The cards at the top summarize your selection:

  • Cover Requests – Total cover requests from the staff in the table

  • Approved Coverage % – The share of those requests that were approved

  • Avg Notice, Min Notice, Max Notice – How many days before the shift the requests were made

The table lists each staff member who requested cover, with their Cover Requests and Avg, Min, and Max Notice.

Click a name to jump to Shift Coverage with that person selected and Cover Requests Sent open.

Responsiveness

Responsiveness shows how staff respond when they’re invited to cover.

The cards at the top summarize your selection:

  • Cover Requests – Total cover requests in the date range

  • Approved Coverage % – The share of those requests that were approved

  • Avg Response Time, Min Response Time, Max Response Time – How many days staff took to respond to an invitation

The table lists each staff member who was invited to cover:

  • Requests Received – Invitations they received

  • Declined – Invitations they declined

  • Accepted – Invitations they accepted but weren’t approved for

  • Approved – Invitations where they were approved to cover the shift

  • % Responsiveness – The share of invitations they responded to at all (declined, accepted, or approved)

Invitations they never answered count against % Responsiveness, so a low number usually means invitations are being ignored, not declined.

Click a name to jump to Shift Coverage with that person selected and Invited to Cover open.

Filtering, Dates & Export

  • Date range – Shows cover requests for shifts in the range you pick (the last 30 days by default). Presets like Last 7 days and Past 4 weeks are available.

  • Staff search – Narrows Behavior and Responsiveness to one person. Only staff who can be assigned to shifts are listed.

  • Filters – On Behavior and Responsiveness, click the filter button to choose Locations and Teams, then click Apply. Shift Coverage uses staff and date range only.

  • Export – Click the download button to save the current view as a CSV file. On Shift Coverage, pick a staff member first. The export matches the card you have selected.

Frequently Asked Questions

Why don’t I see someone in the staff search?

These tabs only list staff who have the Be assigned to shifts permission.

Why isn’t a staff member in the Behavior or Responsiveness table?

The tables only list people who have the Be assigned to shifts permission and activity in your date range and filters: Behavior lists staff who requested cover, and Responsiveness lists staff who were invited to cover. Try widening the date range.
