How it works for staff
When a manager publishes a schedule with open shifts, eligible staff will see those shifts on their My Schedule view.
Staff who match the shift's team and location will see open shifts listed
You can accept or decline each open shift individually
Once you accept, your response is visible to your manager for approval
How it works for managers
When staff respond to an open shift, the shift status updates to Pending Manager Approval.
From the Team Schedule or Open Shift Details page, you can:
View accepted, available, and unavailable staff
Accepted: staff who have accepted the shift
Available: staff who are free during that time and would be eligible for a cover request
Unavailable: staff who declined or aren't available
Approve an accepted staff member — this assigns them to the shift, publishes it, and sends a notification
Send an invite to all available staff, which creates a cover request for the shift
Create a cover request from the "more actions" menu if you'd prefer that workflow
Notifying your team when publishing
When you publish a schedule that includes open shifts, you'll be prompted to choose how to handle them:
Don't notify — publish without any outreach
Notify eligible staff — includes Open Shifts in publish email to eligible staff with a link to view the open shift
Create cover requests for unassigned shifts — automatically creates cover requests and includes them in the publish email with accept/decline links
FAQ
Who can see open shifts?
Only staff who match the shift's team and location will see open shifts on their schedule.
What happens after I approve someone?
The staff member is assigned to the shift and notified via push notification and/or email, based on their shift coverage notification preferences.
Note: the changes applies to single shifts only. Staff cannot accept a series of shifts at once.
Can I convert an open shift to a cover request later? Yes — from the open shift details page, managers can create a cover request at any time, even after responses have come in.
