Using Shift Management on Mobile for Managers

The NetGym mobile app allows managers to monitor schedules, review coverage and subbing activity, and verify that shifts and classes are working as expected—without needing to be at a desktop.

What Mobile Is Best For (Managers)

Use the mobile app to:

  • Verify that schedules are published and visible

  • Monitor shift coverage and class sub requests

  • Confirm notifications are sending correctly

  • Spot last-minute issues while on the go

For setup-heavy tasks (permissions, templates, publishing schedules, policy changes), use the desktop experience.


Navigating the Mobile App

From the bottom navigation bar, managers will primarily use:

  • Schedule – view personal and team schedules, filter by team and location. Tap into a shift to request coverage.

  • Sub Board – send and monitor coverage and subbing activity: My Requests (personal class sub requests and shift cover requests) and All Requests (all staff shift cover requests and class sub requests based on managed locations)

  • Messages – review related communication


My Schedule vs. Team Schedule

My Schedule

Displays your personal schedule, which may include:

  • Classes you are teaching

  • Front desk or operational shifts you are scheduled for

If you are both an instructor and front desk staff, classes and shifts appear together in My Schedule, filtered by location and team.


Team Schedule

Team Schedule is used for shift and class oversight and verification on mobile.

Today, it shows:

  • Shift and class schedules

    • The full class schedule will be shown alongside the shift schedule if:

      • The account has the My Schedule feature enabled

      • The role of the user has the permission to "view all shifts and classes"

      • The filter for viewing 'type' = classes and shifts are on

  • Shift and class coverage activity

  • Confirmation that published shifts are visible to staff

Only users with admin or manager access can see Team Schedule.


Switching Between Locations

If you manage more than one location:

  1. Open Schedule

  2. Use the location dropdown at the top

  3. Select a different site

Your view updates immediately.


This applies to both My Schedule and Team Schedule.


Sub Board – Manager View

From the mobile app, managers may see:

  • My Requests – your own coverage or sub needs

  • All Requests – staff shift coverage and class sub requests

Managers can:

  • See who needs coverage or a sub

  • Unassigned shifts that need coverage

  • Monitor who has been invited

  • Track approvals and outcomes

  • Confirm notifications are triggering properly

For editing policies or making bulk changes, switch to desktop.


Overseeing Front Desk Shift Scheduling

Managers commonly use mobile to:

  • Confirm shifts are published

  • Validate that staff can see their assigned shifts

  • Monitor front desk coverage activity

Mobile is ideal for verification and response, not configuration.


Notifications

Each staff member controls their own notification preferences.

Staff can configure:

  • Coverage reminders (2 hours or 24 hours before)

  • Coverage and request alerts (immediate or daily summary)

Automatic rule:
If a shift or class starts within 24 hours, NetGym sends an immediate alert regardless of personal settings.

Managers cannot override individual notification preferences.

Push notifications must also be enabled at the device level for alerts to appear.


Syncing Schedules to a Mobile Calendar

Managers (and staff) can sync schedules to their device calendar:

  1. Go to Schedule → My Schedule

  2. Tap Sync to calendar

  3. Grant calendar permissions

Shifts and classes sync to the device’s native calendar (Apple or Android).

If managing or working across multiple locations, make sure all locations are selected. If you are not able to select more than one location, make sure syncing is on when each location is selected. This is scheduling system specific.


Manager Mobile Best Practices

  • Confirm staff can access My Schedule

  • Check filters and locations if schedules appear empty

  • Demonstrate the coverage workflow to new hires

  • Help staff enable notifications on both app and device

  • Ensure front desk staff see assigned shifts

  • Review coverage and subbing communication expectations

  • Show staff how to sync their calendar
