How to Create and Manage Compliance Posts

Compliance posts for managers: collect policy acknowledgements with due dates and auto-reminders—and see who's still outstanding.

Written by Helen Krebiehl

Compliance posts collect acknowledgements from your team on policies and procedures, with due dates and automatic reminders so nothing slips through.

You'll see exactly who has acknowledged, who has only read it, and who hasn't opened it yet.

How to create a Compliance post

1. Create Post

Start a new Announcement from web or the NetGym app:

  • Web: Navigate to Posts → + New Post → select Compliance.

  • NetGym app: Tap Posts in the bottom navigation bar → tap the + icon → select Compliance.

2. Add the Compliance Details

  1. Add a header image (optional) — upload your own, or search for a stock image or GIF. Use the edit and remove icons in the top-right corner of the image to swap or delete it.

  2. Enter a title and body describing the policy or procedure.

  3. Add an attachment (optional) — like the full policy document.

3. Configure Post Settings

Setting

Default

What it does

Due date

—

The date acknowledgements are due. After it passes with outstanding acknowledgements, the post moves to Past Due.

Auto-Reminder

Off

When on, choose how often reminders go out — they continue until each person acknowledges.

Roles that should acknowledge

—

Choose which role(s) are required to acknowledge.

Require app pop-up

Off

Shows the post as a pop-up when staff open the NetGym app.

Allow comments

Off

Lets your audience comment on the post.

Allow emojis

On

Lets your audience react with emojis.

Use the app pop-up for critical policies. It's the first thing staff see when they open the NetGym app — the most reliable way to get an acknowledgement before the due date.

4. Choose your audience

Select your Target Audience by filtering on Regions, Locations, Teams, Skills, and/or Roles.

  • If your account uses regions — or has more than 10 locations — locations appear as a dropdown so you can select an entire region at once.

  • If your account doesn't use teams, the Teams filter won't appear.

  • Use Search audience to find specific people, and Select all or Deselect all to adjust the list quickly.

  • To remove an individual, click the X next to their name.

To send a Compliance post to everyone, keep the audience set to All Locations and All Teams.

5. Review and send

Review your post, then click Post. Need to fix something? Click the pencil icon to jump straight back to the details step — no need to click back through each step.

How to filter Compliance posts after it's sent

Front the left panel, click Compliance. In the center panel, click the filter icon to access filter options:

  • Sort by — order the list by Created date or Due date.

  • Show unread — show only posts you haven't read.

  • Pending action — show only posts you haven't acknowledged yet (by clicking I acknowledge).

  • Date sent — set a date range to display Announcements sent within this timeframe

  • Sender (Managers and above) — show only posts sent by specific people.

  • Posts not sent to me (Managers and above) — include posts sent at your location(s) even if you weren't in the audience.

In the post list, due dates change color as they approach — standard, then yellow, then red — so you can spot what's urgent at a glance.

How to track and follow up on acknowledgements

Click any Compliance post to open it in the right panel, then switch the Post / Analytics toggle to Analytics:

  • Sent — reached via your audience

  • Unread — delivered but not viewed

  • Read — opened and viewed

  • Acknowledged — clicked I acknowledge to confirm the policy or procedure

Click any metric to filter the Audience list. To nudge people who haven't opened the post, add a comment and tag @unread or navigate to the unread list and click the comment button — this works even when comments are off for your audience.

From the icons at the top right, you can:

  • Set notification preferences (bell icon) — get notified of all activity or only when you're tagged.

  • Edit the content (pencil icon) — then choose to notify your audience of the update or save without notifying.

  • Edit settings and audience (gear icon) — only newly added people are notified.

  • Archive (folder icon) — removes it from your inbox view without deleting it.

  • Delete (trash can icon) — permanently removes the post after you confirm.

  • Copy the post link (share icon)

Deleting can't be undone. If you only want a post out of your view, archive it instead.

Frequently Asked Questions

How often should I send auto-reminders?

For longer acknowledgement windows, every 5–7 days works well — it keeps the post visible without causing alert fatigue.

Can I require only certain roles to acknowledge?

Yes. In Post Settings, choose which role(s) should acknowledge. Everyone else in the audience can still read the post.

Why is a post still showing under Pending action?

Reading a Compliance post doesn't count as acknowledging it. The post stays under Pending action until you click I acknowledge.
