How to Connect NetGym to Claude or ChatGPT

AI Connector for managers: ask Claude or ChatGPT about your schedule, subs, tasks and posts, and make simple changes.

Written by Helen Krebiehl

The AI Connector links your NetGym account to Claude or ChatGPT, so you can ask about your schedule, subs, tasks and posts in plain English — and make simple changes, like approving a sub, without opening NetGym.

The AI Connector is included with the Core, Flow and Elevate plans. Setup is done on a computer, in a web browser.

Permissions: Managers and above can connect the AI Connector — It only sees and does what you can see and do in NetGym, based on your role, permissions and locations.

How to connect Claude

This takes about two minutes on claude.ai in a computer browser.

  1. In Claude, navigate to Settings → Connectors and click Add to add the custom connector.

  2. Enter the following and then click Continue.

  3. Make sure the below settings are marked "Detected" and click Add.

    • Under Authentication: Sign in now

    • Under OAuth client: Use Claude's published identity

  4. Click Connect. A NetGym sign-in page opens.

  5. Sign in with your usual NetGym email and password. If you belong to more than one account, pick the one you want to connect.

  6. To let Claude make changes for you — like approving subs or updating tasks — tick Allow changes.

  7. Click Allow.

How to connect ChatGPT

This takes about five minutes, on chatgpt.com in a computer browser.

  1. In ChatGPT, open Settings → Security and login → switch on Developer mode. ChatGPT labels it Elevated risk because it lets you add apps OpenAI hasn't reviewed, like this one.

  2. Go to Plugins → click the + button → choose Create app → Create MCP app.

  3. Enter NetGym's details by filling in these two fields and leave the rest as they are. Authentication should already say OAuth.

  4. Tick I understand and want to continue → click Create.

  5. ChatGPT opens a NetGym sign-in page: log in with your usual NetGym email and password, and pick your account if you belong to more than one.

  6. To let ChatGPT make changes for you too, like approving subs or updating tasks, tick Allow changes → click Allow.

How to ask NetGym questions through the AI Connector

The connector can look up:

Area

Example question

Your team schedule (shifts, classes, open shifts)

How many open shifts do we have next week?

Sub requests

Which classes still need a sub this week?

Shift cover requests

Who's covering Saturday's front desk shift?

Insights (subbed-out rates, response times, coverage, hours worked)

What percentage of classes did we sub out last month?

Tasks

What's overdue on my task list?

Posts (announcements, compliance posts, events, who has read or acknowledged them)

Who hasn't acknowledged the new cancellation policy?

Your team (roles, locations, status)

Which instructors work at our Westside studio?

NetGym help center and training

How do I require approval for sub requests?

How to make changes with the AI Connector

If you ticked Allow changes when you connected, the AI Connector can also:

Action

Example request

Approve a sub who accepted a class sub request

Who accepted Friday's 6am spin class? Approve Jordan.

Create or update a task (assign, change due date, mark done)

Create a task for Sam to restock the towels by Friday.

Comment on a task

Add a comment to the towel task that the order is in.

RSVP to an event or acknowledge a compliance post

RSVP yes to Thursday's staff meeting.

Reply to a post or comment

Reply to the holiday hours post that I can work Monday.

Draft an announcement or compliance post

Draft an announcement about our new holiday hours.

Features your gym doesn't use, or that aren't on your plan, won't show up.

  • Your AI app asks before making any change, unless you've set it to always allow that action.

  • Posts are only ever saved as drafts — you review and publish them in NetGym.

  • A sub who would go over an overtime limit can't be approved through the connector.

How to disconnect the AI Connector

Remove NetGym from your AI app's connector settings.

  1. Navigate to Settings → Connectors.

  2. Find NetGym and click Disconnect.

If your NetGym account is deactivated, the connector stops working. If it's reactivated later, reconnect NetGym in your AI app.

Frequently Asked Questions

Can instructors connect?

No. The AI Connector is available to managers and above.

Can it publish posts or edit shifts?

Not yet. It can draft posts for you to publish in NetGym. It can't create or edit shifts, see payroll or pay rates, or change account settings.

Does it work with Mindbody, Mariana Tek or ClubReady accounts?

Yes. It uses the schedule and sub data NetGym has synced from your booking system, so very recent changes may take a few minutes to appear.

My account is on an older plan and I get an access error. Why?

The AI Connector is included with the Core, Flow and Elevate plans. Contact us to talk about upgrading.
