Training is NetGym's built-in learning management system, with quizzes and locked progress where you need accountability.
Additionally, a business-wide view of your learners' progress helps keep an eye on who's on track, who's falling behind, and where you need to step in.
With Training, you can:
Build multi-topic courses
Add scored or ungraded quizzes, with retry rules and progress gating
Keep drafts private while you write, then publish once when it's ready
Assign courses by location, team, skill, role, or manually add specific people
Track completion for your whole business from one Assignments table
This feature is only available on the Elevate Plan. Please contact your CSM or reach out to Support to upgrade your plan or enable this feature.
How to set Training permissions
Permissions are set on the role and course level and a user gets the more permissive of the two.
Role-level permissions
Role-level permissions are set in Settings → Permissions and applies business-wide.
Permission | What it does |
View all training courses | Gives access to every course being built — it's not the same as having a course assigned to you. |
Author training courses | Gives access to create courses |
Publish training courses | Gives access to publish courses |
Assign courses to users & track progress | Gives access to assign and track courses |
Course-level permissions
A collaborator level can only add access — it never takes away what someone's role already grants.
Level | Can view | Can edit content | Can publish/unpublish | Can add collaborators | Can delete the course |
View | ✓ | — | — | — | — |
Author | ✓ | ✓ | — | — | — |
Publish | ✓ | ✓ | ✓ | ✓ | ✓ |
Each level includes everything below it. Removing collaborator permissions in a course revokes access entirely.
Assign & track switch
Alongside the access level, each collaborator has an independent Assign & track switch.
On — set the course's learner audience, and see or mark other people's completion.
Off — no ability to assign or view users' progress.
Because a collaborator level and assign & track are separate, both of these are possible:
Author + Assign & track off — a subject-matter expert who writes content and never touches who gets it.
View + Assign & track on — a manager who doesn't edit the material but decides which of their staff must take it and follows up on completion.
The course owner always has Assign & track; it can't be switched off for them.
How to access Training
Training lives in the Knowledge Center. Navigate to Knowledge Center → Training to get started.
Who Training is for
Course builders (Author or Publish access) — write and structure content
Managers and owners (Assign & track) — decide who takes a course and follow up on completion, whether or not they edit content
Learners — everyone with an assigned course sees it in My Learning, with no other tabs
Someone with no course permissions at all sees only My Learning — for them, Training is simply the list of what they need to complete.
How a course is organized
A course includes topics → steps and quizzes.
Piece | What it is |
Course | What you assign to learners. Has a title, description, emoji, and cover image. |
Topic | A chapter of the course. Courses have as many as you like, in the order you set. |
Step | A page inside a topic: rich text, images, video (YouTube or Loom), embedded PDFs. |
Quiz | A set of questions inside a topic. A topic can hold content steps, quizzes, or both. |
Courses can live in folders for your own organization — folders don't affect who can see a course. A course that isn't in a folder appears under Uncategorized.
How to use the three Training tabs
Tab | Who sees it | What it's for |
Courses | Anyone with View all training courses | The library — browse, build, edit, and publish courses |
Assignments | Anyone with Assign & track | A business-wide view of every staff member's progress |
My Learning | Everyone | The courses assigned to you |
