How to Assign Courses and Track Progress

Training for managers: build a self-updating audience for a course, and track who's completed it.

Written by Helen Krebiehl

Assigning a course builds a rule for who should take it — so the right people are added and removed automatically.

Permissions: You'll need Assign & track access — either from your role or as a collaborator setting on the course — to assign learners or view their progress.

How to assign a course to learners

  • Within a course: navigate to the Staff Assignments tab → click the "Assign to staff" button.

  • Within the business-wide Assignments tab: click the "Assign Content" button → select a course.

    • You can also assign individually by clicking a user's name → "Assign" button.

In the audience manager modal, build the audience from any combination of:

  • Locations

  • Teams

  • Skills

  • Roles

  • Specific people

You can always add named individuals on their own or on top of the criteria above by searching for staff to add under Add Specific People. They stay assigned even if they don't match any of the other criteria.

Finally, review and confirm the assignment.

How assignment stays current

Because assignment works from a rule rather than a frozen list, membership updates itself. Assign a course to "all Fitness Instructors at Downtown" and someone hired into that role at that location next month is assigned automatically.

Someone who is removed from the location or changes roles is un-assigned, and their progress is kept in case they come back.

How to track course progress and quiz scores

Course progress, as well as quiz scores, can be tracked with a course, through the Staff Assignments tab.

Additionally, the Assignments tab is a business-wide table of staff and their courses. Filter by course or status, and search by name.

Click a user to see their assigned courses, each with its own progress.

Status

Meaning

Not started

No steps completed

In progress

Some steps completed

Complete

Every published step completed

A learner's percentage can move without them doing anything — publishing three new steps into a course they'd finished puts them back at "In progress," since there's new material for them to read.

How to modify progress

If you have the permission, you can mark a course as being completed, reset the course progress or quiz attempts.

Mark a course complete

Within a course, navigate to the Staff Assignments tab → find the assigned user → click the "Complete" button.

Reset course progress

Within a course, navigate to the Staff Assignments tab → find the assigned user → click the "Reset" button.

Reset quiz attempts

If a learner must pass a quiz in order to move on and have reached their maximum attempts, you can reset their failed score:

  • Within a course: navigate to the Staff Assignments tab → click the assigned user's name → click the down arrow on a quiz score → Reset quiz attempts.

  • Within the business-wide Assignments tab: click the assigned user's name → Quiz scores tab → click the down arrow on a quiz score → Reset quiz attempts.

If someone has passed a quiz, they can't retake it unless you reset the entire course for them — raising a quiz's passing score afterward doesn't change the outcome for someone who already passed.

How notifications work

  • Learners get an email and a push notification when a course is assigned to them; collaborators get one when a course is shared with them. Both respect each person's notification preferences.

  • Nothing is sent for an unpublished course. If you assign learners to a course that's still in draft, the assignment is recorded but notifications wait until you publish — so you can build out the full audience while you're still writing, then publish once and have everyone told at the right moment.

Frequently Asked Questions

What happens if I leave the audience fields blank?

It defaults to include your entire active staff. Use Clear audience for an audience of zero.

Why did someone's progress drop after they'd already finished a course?

New published steps count toward their total, so finishing again means completing the new material too.

Can a learner retake a quiz they've already passed?

No — a pass is final. A manager has to reset the course for them to take it again.

What will my learners see if their progress is blocked?

Everything after the quiz in the course is locked until the learner passes and everything before it stays readable.

Locked items show a lock icon, and the learner sees a banner explaining why. If they run out of attempts while still failing, they're hard-blocked and shown your Fail message. If that field is empty, they see the default: "You must pass this quiz before continuing with the training."

Write a fail message that tells the learner what to do next — who to contact, whether you'll reset it — because for that learner it's a dead end until someone intervenes.

If I change the passing quiz score after learners have already passed, does it affect them?

No. Edits — including quiz settings — aren't live until you publish, and a pass is final regardless. A changed passing score only applies going forward.
