A course is a self-paced online lesson made up of topics, steps, and quizzes. Nothing you create reaches a learner until it's published.
Courses can then live in folders for your own organization — a course that isn't in a folder appears under Uncategorized.
Permissions: Only users with course collaborator Author or Publish access (or a role that grants it) can edit a course.
See Training Overview for details on course permissions.
Course Components
Piece | What it is |
Course | What you assign to learners. Has a title, description, emoji, and cover image. |
Topic | A chapter of the course. Courses have as many as you like, in the order you set. |
Step | A page inside a topic: rich text, images, video (YouTube or Loom), embedded PDFs. |
Quiz | A set of questions inside a topic. A topic can hold content steps, quizzes, or both. |
How to build a course
Navigate to the Knowledge Center → Training → click the +New course button.
Select how you'd like to start:
Generate from a document — upload a handbook, SOP, or deck and a course is automatically drafted for review.
Start from scratch — build the outline yourself, topic by topic.
Then, name your course and assign it to an existing folder or leave it as Uncategorised.
If you'd like to add a course description, click the three horizontal dots → Edit course → add a Description.
Creating a topic
Click the course title and type your first Topic name within the modal.
You can create additional Topics by clicking the +Add topic button in the main Course Outline or within the course.
Creating a step
Click your topic or step title to open the course builder and add your content in the editor.
You can include:
Formatted text — headings, bold, italic, underline, text color, bulleted and numbered lists, quotes, alignment
Emojis — drop an emoji anywhere in your text to add tone or visual emphasis
Links — link any text out to a URL
Images — upload and drag to resize in place
PDFs — embed a document so learners read it without downloading
Video — embed a YouTube or Loom URL; it plays inside the step
Line break — insert a horizontal divider to visually separate sections within a step
Quotes — set text apart as a block quote, useful for callouts or key takeaways
Code block — display text in a monospaced, fixed-width block, useful for anything meant to be read or copied exactly as written
Tables — for schedules, comparisons, and reference material
To add more Steps, click +New step in the course outline in the sidebar.
Creating a quiz
From the course outline, click +New Quiz and give it a name. Click into the first question to rename it. Add your first quiz question in the editor and choose the correct answer format.
Multiple choice — write as many answers as you like and mark the correct one
True / false — provide only "True" and "False" as options and mark the correct one
Continue to add more quiz questions then decide on the quiz settings in the panel:
Setting | Options | What it is |
Passing score | 0–100% | The percentage needed to pass. Set it to 0 for an ungraded quiz — answering every question completes it, right or wrong. |
Attempts | ∞, 1, 2, 3 | How many times a learner may take the quiz. A manager can reset a quiz if the maximum attempt is reached. |
Retry mode | From beginning / Missed only | The option to have learners retry all the quiz questions or only answer missed questions. |
Block progress until passed | On / off | Locks the rest of the course until the learner reaches a passing score. |
Fail message | Free text | Text displayed to a learner who's blocked with no attempts left. |
You must publish the course for quiz setting updates to take effect.
How to restore a previous version
Every step and quiz keeps a revision history, so you can look at earlier versions and restore one if an edit went wrong.
At the top of the course builder, click the counter clockwise icon and select a previous version to restore.
How to duplicate and delete a step or quiz
In the course outline, click the three vertical dots within a step or quiz and select either Duplicate or Delete.
For topics and quizzes, you'll see an additional option to Rename.
When you delete a step or quiz that's already published, it doesn't disappear for learners right away.
It's marked Pending deletion: you stop seeing it, learners keep seeing it, and it disappears for good on your next publish. Until then, the Discard Changes button brings it back.
How to reorder a topic, step, or quiz
Within a course outline, hover over the six dots to the left of the quiz or step and drag to the desired order.
