These questions are written from the employee point of view (front desk, studio advisors, support staff).
1. Where do I see my schedule?
You’ll see your schedule in the NetGym app under “My Schedule.”
If you don’t see anything yet, it likely hasn’t been published by your manager.
2. Why don’t I see any shifts yet?
This usually means one of three things:
The schedule hasn’t been published yet
You haven’t activated your NetGym account
You’re not assigned to a shift-enabled team
If you’re unsure, ask your manager.
3. Can I change or edit my shifts?
No. Shifts are managed by your studio’s leadership team.
You’ll be able to:
Request coverage
Pick up open shifts (when enabled)
But you can’t directly edit schedules.
4. What is an open shift?
An open shift is a published shift that doesn’t have anyone assigned yet.
If you’re eligible, you’ll be able to:
See it on your schedule
Pick it up or request it (depending on studio policy)
5. How do I cover someone else’s shift?
If coverage is enabled:
You’ll be able to accept or request open shifts directly in NetGym
If not yet enabled:
Use your studio’s NetGym chat or follow manager instructions
6. Why can’t I accept an open shift yet?
Some studios are still rolling out coverage features.
You may need to:
Message your manager
Use the designated coverage chat temporarily
This will become self-serve soon.
7. Can I see who else is working?
Yes, if your studio has enabled “View All Shifts.”
This lets you see:
Who’s working before or after you
Who else is on shift that day
You won’t be able to edit anything.
8. Will my availability automatically change my shifts?
No.
Availability helps managers make decisions, but it does not automatically modify schedules.
This prevents last-minute surprises and missed coverage.
9. How will I be notified about schedule changes?
Notifications depend on your settings.
You can receive:
Push notifications
Email notifications
You can customize these in My Profile → Notifications.
10. How do I clock in and out?
If your studio uses NetGym for time tracking:
You’ll clock in/out directly in the app
You may need to be on-site (geofencing)
If not, your studio may still use another system.
Shift Scheduling – Manager FAQs
These questions are written from the manager / operator / owner perspective.
1. Who should use Shift Scheduling?
Shift Scheduling is for:
Front desk staff
Studio advisors
Assistants
Any hourly, non-teaching role
Instructor schedules still come from your booking platform.
2. What’s the first setup step?
Create a team enabled for Shift Scheduling and assign staff to it.
Only teams with Shift Scheduling enabled:
Appear in the scheduler
Can be assigned to shifts
3. Why don’t my staff show up when I try to assign shifts?
This usually means:
They’re not assigned to a shift-enabled team
Their NetGym account isn’t activated
They don’t have the correct role
Check team assignment first.
4. What permissions do managers need?
Managers typically need:
Create / edit / delete shifts
Publish schedules
Approve coverage
View all shifts
These permissions can be adjusted per role.
5. What are shift templates and do they auto-update?
Templates are shortcuts only.
They:
Speed up schedule creation
Do not auto-update shifts
Are safe to edit or delete
Deleting a template won’t affect your schedule.
6. Should I assign shifts right away or leave them open?
Both are valid.
Assign shifts if staffing is stable.
Leave shifts open if coverage changes often or you want flexibility.
Unassigned + published = open shift.
7. Why are my shifts dotted or yellow?
Dotted = Draft (not published)
Yellow = Unassigned
Staff can’t see draft shifts.
8. How far out should I publish schedules?
Most studios publish:
2–4 weeks
Or monthly
You can build schedules far in advance and control visibility with publishing.
9. How does shift coverage work?
Currently:
Managers assign coverage manually
Staff coordinate via chat or messages
Rolling out:
Staff-driven coverage requests
Auto-approval or manager approval policies
Full audit trail
10. Why doesn’t availability automatically update shifts?
This is intentional.
Auto-changing shifts based on availability often leads to:
Missed coverage
Confusion
Lack of accountability
Managers stay in control of schedules at all times.
11. Can instructors see front desk schedules?
Yes, if enabled.
Many studios allow read-only visibility across teams to:
Improve awareness
Reduce “I didn’t know” issues
Help with coverage planning
12. Do I have to use NetGym for clock-in / clock-out?
No.
You can:
Keep your current payroll system
Or enable NetGym’s time tracking later
NetGym supports:
Mobile clock-in/out
Geofencing
Late clock-out flags
Shift reporting
13. Can I use Shift Scheduling at only one location?
Yes.
Many studios:
Pilot at one location
Expand once confident
This is fully supported.
14. What’s the best rollout strategy?
We recommend:
Build schedules in Draft
Train managers first
Publish a short window
Remove old tools
Enable coverage features
Clean cutovers work best.
