How to Request Availability Updates from Staff

Availability for managers: send staff a one-click reminder to update their availability before you build the schedule.

Request Availability lets you send staff a direct reminder to update their availability right from the Users page, instead of chasing people down over text or email.

Use it any time you're about to build an upcoming schedule and need current availability from your team.

Permissions: Anyone with the Edit Users permission enabled on their role can send an availability request.

Enable this through Settings Permissions Role.


How to send an availability request

Navigate to Settings Users → Active.

  1. Select the checkbox next to each staff member you want to remind — this works for a multi-select group.

  2. Click Request Availability in the bulk action bar.

  3. Review the confirmation modal and click Confirm.

Once you confirm, you'll see a Notifications sent! message at the bottom right of the screen.

Deleted, inactive, and away staff are automatically excluded from availability requests, along with anyone who has notifications turned off at the account level.


What staff receive

Each selected staff member gets an email, plus a push notification if they have a registered device on file. One request goes out at a time.

  • Push notification: "Update your availability" — "Your manager is building upcoming schedules. Submit your availability in NetGym." Tapping it opens the Availability screen directly in the NetGym app.

  • Email: A reminder that links straight to the Availability page, on web and in the app.


Frequently Asked Questions

Can the request be sent as a text?

No. The request goes out as an email and push notification (if enabled).

Can I send an availability request to inactive staff?

No. Inactive, away, and deleted staff can't be selected, and the Request Availability button doesn't show on the Inactive tab.

Can I send availability requests from the NetGym mobile app?

Not yet — send requests from SettingsUsers on the web. Staff can update their availability from either the web or the NetGym mobile app.

Why don't I see the Request Availability button?

Your role needs the Edit Users permission. Check with your account owner or admin to confirm this is enabled under SettingsPermissionsRole.

Can I send another request if a staff member still hasn't updated their availability?

Yes — there's no limit. Select the same staff member again and send another request at any time.

Can I send an availability request to just one person?

Not at this time. Please reach out to the staff member individually.
