How to Use Your My Profile Page (Web)

View your schedule, update your personal info, and manage documentation, availability, notifications, and time clock in one place.

My Profile is your personal hub in NetGym — one place to check your upcoming schedule, update your personal info, and manage your documentation, availability, notifications, and time clock entries.

Managers can view and manage a staff member's profile directly from SettingsUsersEdit.

The tabs you see on My Profile depend on your studio's plan and which features are turned on.


How to View Your Profile Overview

On the web, click My Profile from the left navigation bar.

The Overview tab is what you land on first. It shows three widgets:

  • Upcoming Schedule — a date range picker (defaults to today through the next 30 days) with a list of your upcoming classes and shifts. View All to go to your full My Schedule page.

  • Trainings — your assigned trainings with a status badge for each: Not Started, In Progress, Complete.

  • Documentation — up to 3 of your documents with a status badge for each. Click View all to go to the Documentation tab.

If you have nothing upcoming in a widget, you won't see it.


How to Update Your Personal Info

On the Personal Info tab, click Edit.

  • Click Change Picture to update your profile photo.

  • Your First Name, Last Name, and Employee ID are read-only.

  • Your address is broken into three separate fields — City, State (options shown depend on your business's country), and Zip Code.

  • Click Edit Password to change your password.

  • If your email isn't verified yet, you'll see an alert with a Resend button to send a new verification email.

In the Assignments section:

You can only edit your Locations if you have permission to do so — otherwise it's read-only. Role, Teams, and Skills are always read-only from My Profile. Ask your manager or admin if any of these need to change.


How to Manage Your Notification Settings

The Notifications tab is organized into collapsible sections — Personal, Subbing, Manager, Shift, Task, Mobile Push, and Danger Zone — each collapsed by default.

Which sections you see depends on your role and permissions. Expand a section to customize notifications by type and channel.

If you do not want any notifications, turn on Danger Zone. Please note that this may result in missed communication and notifications.


How to View Your Documentation

The Documentation tab lists everything assigned to you, with a status badge per document. Clicking into a document to view or complete it opens it in Documentation.

The tab badge counts only documents that are Not Submitted or Expired — it does not include documents that are Expiring.


How to Set Your Availability

The Availability tab has two independent sections, each with its own Edit Availability button:

  • Weekly Subbing Availability

  • Weekly Permanent Availability

Below both, an Additional Information section lets you set your preferred teaching locations, preferred weekly class count, and any notes about your availability.


How to View and Edit Your Time Clock Entries

The Time Clock tab shows your clock-in and clock-out history and defaults to the last 60 days. Click a column header to sort, or change the date range to look further back. Click Export to download your entries as a CSV.

If you have the Update my own time clock entries permission, you'll see an Actions column letting you edit your own entries directly. Without it, this tab is view-only — ask your manager if you need an entry corrected.


Manager Access

Navigate to SettingsUsers, find the staff member, and click the pencil icon to open their profile.

It opens to the same tabbed layout staff see on their own My Profile page, with permissions determining what you can edit versus only view:

Frequently Asked Questions

Why can't I edit my name, Employee ID, or Role?

These fields are always read-only from My Profile. Your manager or admin can update them for you.

Can I edit my own time clock entries?

Only if you have the permission. If you don't see an Actions column on the Time Clock tab, ask your manager to make a correction or grant you that permission if policy allows.

Why doesn't my Documentation badge count match the number of documents showing as Expiring?

The badge only counts documents that are Not Submitted or Expired. Expiring documents show a status badge in the list but aren't included in the tab count.
