Remove User hides a profile you'll never invite — like an HQ login, a shared device, or an accounting login — from your Users list without deleting it.
It's easy to mix up with Mark as Inactive, but the two do different jobs. Mark as Inactive turns off a team member's access. Remove User tidies up who you see on the Users page. This article covers when to use each, how to remove a user, and how to bring them back.
Permissions: Removing, restoring, and marking users inactive need the same permission as editing users, and only apply to users within your locations.
How to choose between Remove User and Mark as Inactive
Think of it this way: Mark as Inactive controls access. Remove User controls visibility.
| Mark as Inactive | Remove User |
Use it for | A team member who has left or shouldn't have access right now | A profile you'll never invite — HQ logins, shared devices, accounting logins — or an inactive user you want out of the way |
Available on | Active and Pending rows | Pending and Inactive rows |
What it does | Turns off NetGym access and moves the user to the Inactive tab as Deactivated, Revoked, or Never invited | Moves the user to the Removed pill and hides them from Home alerts |
Deletes the profile? | No | No |
Notifies the user? | No | No |
How to undo | Reactivate or Send Invite from the Inactive tab | Restore to List or Invite from the Removed pill |
You can't remove an Active user directly — mark them inactive first, then remove them if you no longer want to see them in your list.
Neither action removes the user from your scheduling system — the profile still exists in NetGym and keeps syncing. To fully remove a synced user, deactivate or delete them in your scheduling system.
How to remove a user
Navigate to Settings → Users → Pending or Inactive.
Open the ⋮ menu on the user's row.
Select Remove User.
Once removed:
The user appears under the Removed pill on the Inactive tab.
They're excluded from the Home New Users, Documentation, and Incomplete trainings alerts.
No email is sent.
How to bring a removed user back
Navigate to Settings → Users → Inactive.
Select the Removed pill.
On the user's row, choose one:
Restore to List — returns them to the Inactive tab with their prior status (Never invited or Revoked, depending on how they were removed).
Invite — moves them straight to the Pending tab as Invited and sends their invite.
Restoring a user doesn't send them an email.
