Shift templates let you create reusable shift blocks (like “Weekday Morning” or “Weekend Front Desk”) so you can build schedules faster and more consistently.
Instead of recreating the same shifts every week, you create templates once and reuse them whenever you build a schedule.
Before You Begin
Make sure these setup steps are complete:
Shift Scheduling is enabled for your account
Teams are created and enabled for Shift Scheduling
Users are assigned to the correct teams and roles
📘 If you haven’t completed setup yet, start here:
Shift Management: Setup Teams, Roles, and Permissions
Who Can Create Shift Templates?
Shift templates are managed from the Team Schedule view.
You must have:
A role with permission to manage shifts
Access to the Team Schedule
If you don’t see Team Schedule, contact your account owner or manager.
Step-by-Step: Create a Shift Template
Step 1: Go to Team Schedule
Log in to NetGym on the web or mobile
From the left-hand menu, select Schedule → Team Schedule
You’ll see 3 views:
My Schedule – your personal shifts
Team Schedule – where managers build and manage schedules
Cover Board - where shift cover requests are sent and received.
Managers and account owners will primarily use Team Schedule.
Step 2: Open Shift Settings
In Team Schedule, look for the Shift Settings window
If it doesn’t open automatically, click the gear icon in the top-right corner
This opens Shift Settings.
Step 3: Select the Team You’re Scheduling For
Shift templates are created per team.
Choose the team you want to schedule for
Team colors match what you set up in Team Settings
Click Save
You’ll need to repeat this process for each team you manage.
Step 4: Open Shift Templates
Inside Shift Settings:
Select Shift Templates
Existing templates (if any) will appear here
Shift templates are used for common or recurring shifts (daily, weekly, weekends, etc.).
Step 5: Add a New Shift Template
Click Add Shift Template
Fill in the details:
Template Name (example: Weekend Shift)
Team (example: Front Desk)
Start Time (example: 7:00 AM)
End Time (example: 1:00 PM)
Click Save
Once saved:
The template appears in your list
The total number of hours for the shift is shown
You can also create a shift template directly from the Team Schedule calendar. Hover over the day and time, click + Add Shift, then select Save as shift template in the shift details.
Step 6: Edit a Shift Template (Optional)
You can edit a template at any time:
Select the template from the list
Update the name, team, or shift times
Save changes
Edits apply to future schedules when the template is used.
Step 7: Exit Shift Settings
When you’re finished:
Exit the Shift Settings window
You’ll return to the main Shift Scheduling screen
Your shift templates are now ready to use when building schedules.
